In this document, we will look at a Citrix utility called GoToMeeting, It is a tool that will allow us to create online meetings or conferences. A simple tool that integrates with Microsoft Outlook and is fully accessible via the web. It will also allow us to share resources, or display applications online, Perfect for application demos or product presentations, All of this through the internet without the need to be in the same physical location.

In this document, we will provide an example of installing GoToMeeting on Citrix Presentation Server, It is not necessary, Of course, We will use the Citrix GoToMeeting for Presentation Server tool, It can be downloaded from its official website: www.citrix.com. We will install it on some servers with Outlook so that we can create and organize online meetings and have appointments automatically booked in Outlook calendars.. We start with the installation of GoToMeeting., “Next”,

… We wait while GoToMeeting is being installed.…

We must choose where we want the meetings to be run.; Where a meeting is run, its resources will be used., If we select the first option: (“Only allow meetings and Webinars to be executed on local client desktops.”) The conferences will be run on users' machines., So their resources will be used., I am not interested., Since this is a Citrix Presentation Server, and that is where I want the conferences to run., so I will select the second option: “Allow meetings and Webinars to be executed on this server” & “Continue”,

We can integrate GoToMeeting with Microsoft Outlook or with IBM Lotus Notes, or if we are not interested in either. On this computer, having Outlook and wanting to integrate it, I will do so for users' appointments, Continue,

GOOD, installation and configuration completed, Click on “Close”.

Perfect, we already have it well configured, “Finish”.

Now what remains is for users to be able to create meetings, for this, it has been integrated with their Outlook and they will have an additional button in it, they will be able to create meetings (“Host a Meeting…”), join meetings (“Join a Meeting…”) or see the meetings they have pending (“My Meetings…”).

Now we will create a mock meeting to demonstrate a product we sell, for example, the website www.bujarra.com (to give an example), so first the user organizing the meetings must create a new one from the first option.

To use GoToMeeting, you need to have an account on the website www.gotomeeting.com, so if we don't have an account, we must register (for free), Well, once we have our GoToMeeting account, we enter our credentials and log in.

And from here it gives us the option to create a meeting, an immediate one (“Meet Now”) or if we want to schedule one (“Schedule Meeting”), we will create an appointment for a Friday at 2:30 PM,

So in “Subject” tenemos que poner el asunto de la reunión, and in “Date” seleccionar la fecha con la hora inicio y fin de la reunión. Además añadiremos información adicional sobre la cita marcando “provide conference call information” y abajo introducimos un texto para que contacten con nosotros si fuera necesario. In addition, si nos interesa podemos proteger con una contraseña la reunión. GOOD, Click on “Schedule”.

Nos confirma que la reunión se ha creado y se ha reservado en nuestro calendario. “OK”.

Ahora debemos mandar el mail a las personas que nos interese citar para dicha reunión…

Todas las personas que reciban el correo tendrán una cita en su calendario como esta y cuando sea la reunión les saltará en pantalla y simplemente deberán abrir el link que viene en ella.

Esto sería lo que saltaría en las pantallas de los usuarios, al ser YO el organizador deberé pinchar en “if you are the organizer, please click here” para logearme como administrador de la reunión,

Me valido como el organizador de la reunión…

Este sería mi escritorio, ahora desde la herramienta de GoToMeeting, deberé compartir las aplicaciones que me interesen para la conferencia, como es una demo de una página web pulsare en “Screen Sharing” > “Show only” > “Internet Explorer”. Así los que se conecten a esta reunión, sólo verán la web y no todo mi escritorio.

Al resto de miembros de la reunión les saldrá lo mismo, un cartelito para conectarse a la conferencia…

Y está sería la presentación de mi producto, visto desde la parte de un usuario cualquiera conectado a la cita, sólo que hasta que el organizador no inicie la reunión se quedará así en ‘pausa’,

Well, una vez que el organizador lo desee esto sería la vista de la gente que esté conectada a la conferencia, ahora es mostrar el producto o lo que sea el tema de la reunión.
